How You Will Contribute

The Philadelphia Museum of Art Budget Analyst is responsible for supporting the financial planning, budgeting, and forecasting processes for the organization. Reporting to the budget manager, this position plays a key role in ensuring that the organization’s resources are allocated effectively to meet its mission while maintaining fiscal responsibility. The budget analyst will work closely with department heads, financial teams, and senior leadership to track expenses, monitor revenue streams, process journal transfers and prepare budget reports for internal and external stakeholders. 

Specifically, you will:
 
  • Budget Planning and Development
    • Collaborate with departments to develop annual budgets, ensuring alignment with the organization’s goals and financial constraints.
    • Prepare detailed budget proposals based on historical data, projected needs, and program priorities.
    • Review and analyze departmental budgets, making recommendations for cost savings, reallocations, or adjustments.
  • Financial Monitoring and Reporting
    • Track actual spending against approved budgets, identifying variances and providing explanations for significant differences.
    • Prepare monthly, quarterly, and annual financial reports, highlighting budget-to-actual performance for senior management, board members, and other stakeholders.
    • Support the financial forecasting process, providing insight into expected revenue and expenses for the remainder of the fiscal year.
    • Assist with audit preparation, ensuring that budget and financial records are for external audits.
 
  • Financial Compliance and Policy Adherence
    • Ensure compliance with financial policies and procedures by maintaining accurate records and identifying potential risks or areas of non-compliance.
    • Assist in maintaining financial transparency with stakeholders by ensuring timely and accurate reporting.
 
  • Other Responsibilities
    • Assist with special projects as needed, including financial analysis for new programs, strategic initiatives, and operational improvements.
    • Participate in regular meetings with program and administrative teams to review financial data, discuss challenges, and provide guidance on financial planning.
    • Support staff training related to budget management and financial policies as needed.


Your background and experience include:
 
  • Bachelor's degree in finance, Accounting, Business Administration, or a related field.
  • 2+ years of experience in budget analysis, financial planning, or accounting, preferably within the non-profit sector.
  • Knowledge of non-profit financial principles including grant management, restricted funds, and fund accounting.
  • Experience with financial software and reporting tools, including, but limited to Microsoft Office Suite, Financial Edge, ADP and Concur.
  • Strong analytical skills with the ability to interpret financial data and produce meaningful insights.
  • Ability to communicate financial information clearly to non-financial staff and stakeholders.
  • Attention to detail and high level of accuracy in financial reporting and budgeting.
  • Proven ability to work independently and as part of a team in a fast-paced environment.
  • Excellent time management skills with the ability to meet deadlines and handle multiple priorities.
  • Strong problem-solving skills, with the ability to propose practical solutions for budget issues.


Position and Compensation Details
  • The salary for this position is $63,000.
  • This position is Full-Time, Exempt, and 35 hours per week.
  • This position reports to the Budget Manger.
  • Physical requirements:
    • Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus.
  • Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
