How You Will Contribute

The Digital Asset Specialist completes all tasks associated with the lifecycle of our digital assets and ensures they are ingested into or removed from their appropriate management system. Working in close collaboration with the Digital Asset Librarian, they collaborate on the establishment of consistent standards, policies, and procedures for the digital asset lifecycle. They ingest, catalog, and process assets into and out of the digital asset management system and update image rights information. This role coordinates metadata, files, and workflows between the digital asset management system (currently Cortex DAMS by Orange Logic) and content management system (currently TMS by Gallery Systems), and ensures assets are transferred to any appropriate system as needed.


Specifically, you will:
 
  • Upload, crop, and ingest digital assets into their respective systems and create and update the respective metadata.
  • Maintain quality control and perform updates in the DAMS of object images, staff accounts, and any other aspect of the system as needed.
  • Facilitate adding and maintaining up to date representative object images in TMS.
  • Weed assets per established guidelines and schedules. Distribute and preserve media within and across relevant systems, such as TMS, the DAMS, Preservica, Sharepoint, etc., in accordance with the digital asset lifecycle.
  • Collaborate with Digital Asset Librarian using current rights documentation to develop workflows to implement updating copyright credits, photography credits and other rights information in the current collection management database, The Museum System (TMS), DAMS, the museum’s website, and third party platforms.
  • Attach model and property releases to assets.
  • Create, update, and maintain documentation on day-to-day workflows. Adhere to and collaborate on digital asset management cataloging documentation with the Digital Asset Librarian.
  • Collaborate on Library & Archives digitization, web, and image distribution initiatives.
  • Collaborating with respective colleagues, help lead and participate in metadata and asset backlog and cleanup projects.
  • Fulfill staff and outside patron requests for images, information, and scans, and serve as backup for library@ account as needed.
  • Perform other duties as assigned.


Your background and experience include:
 
  • BA/BS or its equivalent in theory, training, and practice.
  • Demonstrated experience in cataloging and describing a wide range of media assets
  • Demonstrated ability in maintaining records and data in various databases and information platforms, in particular digital asset management systems and content management systems.
  • Familiarity with metadata standards such as IPTC, IIIF, and other image schemas.
  • Familiarity with Photoshop/Bridge
  • Consistent and accurate attention to detail.
  • Excellent communication and interpersonal skills.
  • Aptitude for technology and a willingness to learn new skills.


Position and Compensation Details
 
  • The hourly rate for this position is $26.37.
  • This position is Full-Time, Non-Exempt, and 35 hours per week.
  • This position is part of the AFSCME Local 397 bargaining unit.
  • This position reports to the Digital Asset Librarian.
  • This is a 1-year term position, beginning February 10, 2024, and ending February 10, 2025.
  • Physical requirements:
    • Able to remain stationary for extended periods of time, to utilize computers and other office equipment required of this job, to perform physically administrative duties in a typical interior office environment, gallery, or exhibit space, and to access most public and staff areas of the museum campus
  • Background check required after a conditional job offer is made. Consideration of the background check will be tailored to the requirements of the job.
