Development Assistant, Planned Giving & Gifts of Works of Art

How You Will Contribute
The Philadelphia Museum of Art is seeking an energetic team member to support staff within the Development department. The Development Assistant for Planned Giving and Gifts of Works of Art supports the Deputy Director of Development in relation to gifts of works of art and the Planned Giving Officer for all aspects of the Museum’s Planned Giving program.  The Development Assistant is also responsible for various office-wide duties, including mail pick-up and drop-off, general phone line coverage, and event preparation and staffing.

Specifically, you will…

  • Support the Planned Giving program:
    • Coordinate planned gift administration, including the acknowledgement of all planned gifts, bequest tracking, and life-income gifts (quarterly check/direct deposit remittance notifications, tax documents) and other support functions, including the reporting of changes of address, direct deposit, and other program-relevant personal information.
    • Maintain the membership roster for the Fiske Kimball Society in detailed donor records, Raiser’s Edge database, the Annual Report, the Museum website, and other publications/files.
    • Use planned giving software to provide up-to-date life income calculations to donors and Development colleagues among other ad hoc projects.
    • Acquire and maintain basic working knowledge of life-income gift vehicles and working knowledge of applicable tax law and IRS rulings.
    • Respond to donor inquiries about charitable gift planning.
  • Support Gifts of Works of Art:
    • Maintain the membership roster for the Anne d’Harnoncourt Society (recognizing donors of works of art and funds for art acquisition) in detailed donor records, Raiser’s Edge, the Annual Report, the Museum website, and other publications/files.
    • Use Raiser’s Edge to log and track all inquiries (via website, e-mail, phone, and post) regarding gifts of works of art, ensure timely responses by curators and enter relevant and rich information in the database.
    • Draft acknowledgment letters from Museum Director for all gifts of works of art with review and input from curators.
    • Acquire and maintain basic knowledge of the types of gifts of works of art (outright, promised, fractional), corresponding gift processes and procedures, and the tax and other benefits associated with such gifts.
  • Provide administrative support:
    • Assist in the development and preparation of all proposals, marketing materials and mailings.
    • Assist in the preparing and tracking of budgets for corresponding charge lines.
    • Assist in the planning, coordinating and execution of meetings, including the recording minutes and distribution of follow-up tasks.
    • Draft letters, proposals, and notes to donors/prospects as needed.
    • Support projects such as the Library Committee, Major Gift Committee, and the new Park House Committee, etc.
  • Maintain and utilize donor/prospect information in the Raiser’s Edge database, processing and recording relevant data points and running reports for Development projects.

Your diverse background includes…

  • Bachelor’s degree is required
  • Demonstrated ability to interact effectively with donors, volunteers, and staff at the highest level.
  • Exceptional writing and oral communication skills
  • Proficiency with Microsoft Office Suite
  • 2-3 years of professional experience in development, especially at an art museum, is preferred.
  • Prior experience with Raiser’s Edge and PGCalc is strongly preferred
  • Physical Requirements:
    • Able to access all public and staff areas of the Museum campus.
    • Able to walk and stand remain on feet for long periods of time.
    • Able to remain seated for extended periods of time.
    • Able to regularly set up, adjust, and operate a computer/keyboard and other office equipment used to generate work/transmit data.
